What the monthly work covers

Transaction entry and categorization

Every transaction that hits the business gets recorded and coded to the right account, so the categories on your profit and loss mean the same thing in December as they did in January. Consistent coding is what makes a year of books comparable and a tax return defensible.

  • Bank and credit card transaction entry
  • Consistent chart-of-accounts coding
  • Owner draws and contributions kept separate from business activity
  • Receipts and documentation attached where they belong

Bank and account reconciliations

Reconciliation is the control that proves the books match reality. Accounts are tied out to statements, differences are chased down rather than plugged, and the balance sheet stops drifting.

  • Bank and credit card reconciliations
  • Loan and line-of-credit balances tied to statements
  • Undeposited funds and clearing accounts cleared, not carried
  • Prior-period differences identified rather than absorbed

Month-end close and financial reporting

Closing the month turns raw activity into statements you can act on. You get the reports a lender, a partner or a decision actually needs, not a data dump.

  • Profit and loss and balance sheet
  • Statement of cash flow on request
  • Period-over-period comparison so trends are visible
  • Books closed to prevent silent edits to a reported period

QuickBooks setup and support

If you are already in QuickBooks we work in your file. If you are setting up, the chart of accounts, opening balances and bank feeds get built once, properly, so the first year of data is worth keeping.

  • QuickBooks Online file setup and chart of accounts
  • Bank feed and rule configuration
  • Opening balances and prior-year tie-out
  • Support for your team when a transaction is unusual

If your books are behind

Catching up is a normal starting point, not a problem to be embarrassed about. Where a prior year is incomplete or has never been reconciled, that clean-up is the first piece of work — reporting on an unreconciled file just produces confident-looking numbers that are wrong.

Bookkeeping and your tax return in the same firm

The advantage of having a CPA firm keep the books is that the person preparing the return already knows what is in them. Questions get resolved during the year, when a document can still be found, instead of during filing season, when the year is closed and everyone is guessing.

Payroll processing is not a service this firm offers. Accounts payable runs and controller-level work also sit outside standard monthly bookkeeping. Tell us what you need and we will tell you plainly whether we handle it or refer it.

This is for you if

  • You are a small business that needs the month closed reliably.
  • Your books are behind and you need them caught up before anything else is useful.
  • You are on QuickBooks, or setting it up for the first time.
  • You want the people preparing the return to be the people who know what is in the books.

What sits outside this service

  • Payroll processing, which this firm does not offer.
  • Accounts payable and receivable runs.
  • Controller or CFO-level work. Ask about what you need and we will tell you plainly whether we handle it or refer it.

Common questions

How often are the books updated?

Monthly is the normal cadence: transactions entered and coded, accounts reconciled, month closed, statements issued. That rhythm is what makes the reports usable for decisions rather than only for filing.

My books are a mess and years behind. Is that a problem?

It is a starting point, and a common one. Catch-up and reconciliation come first, because reporting on an unreconciled file produces numbers that look authoritative and are not.

Do I have to use QuickBooks?

We work in QuickBooks and support both file setup and ongoing use. If you are on something else, tell us what it is and we will tell you honestly whether we can work in it.

Do you run payroll?

No. Payroll processing is not a service this firm offers, and neither are accounts payable runs or controller-level work. We will reconcile payroll your provider has run and file around it, and we are happy to point you at a payroll provider.

Does having you do the bookkeeping make the tax return easier?

It makes it more accurate. The person preparing the return already knows what is in the books and has resolved the odd transactions during the year, when the documentation still exists, rather than in filing season.
