Best Accounting Software for Contractors

Most small contractors do well with a general ledger such as QuickBooks Online or Xero, paired with a job-costing or field tool like Knowify, JobTread or ServiceTitan when estimating, change orders and dispatch outgrow spreadsheets. Contractors with multi-state or prevailing-wage payroll, union rules or WIP reporting needs usually look at construction-specific accounting systems such as FOUNDATION. Pick the tool your bookkeeper and CPA can actually read, and make sure it produces a job cost report you trust.

Construction accounting is different from ordinary small-business bookkeeping: revenue is earned job by job, costs have to be tied to the right project, retainage and progress billing complicate receivables, and lenders and sureties often ask for work-in-progress schedules. The products below are ones contractors commonly use. We describe each one only by what its vendor says on its own website, which we checked in September 2026. We have not tested or ranked them, we do not quote prices because they change often, and nothing here is an endorsement.

  1. QuickBooks Online

    Best for: Small contractors who want a widely used general ledger with basic job costing

    Intuit's construction page says QuickBooks lets contractors track time and expenses for each project and run profit and full job cost reports. It also describes sending estimates with deposit amounts that customers can pay online and tracking paid, opened and outstanding invoices. Because many construction add-ons sync with it, QuickBooks often serves as the ledger underneath a separate field or estimating tool.

  2. Xero

    Best for: Contractors who prefer a cloud ledger with project tracking and a large app marketplace

    Xero's construction page says it can track jobs and analyze the profitability of each project, flag costs that are overrunning, and record time with a start-stop timer. It describes creating branded quotes and converting accepted quotes into invoices. Xero says more than 1,000 third-party apps connect to it, naming trade tools such as Tradify, ServiceM8 and simPRO.

  3. FOUNDATION (Foundation Software)

    Best for: Contractors with complex payroll, prevailing-wage or union work and WIP reporting needs

    Foundation Software describes FOUNDATION as construction accounting software that brings job costing, payroll, invoicing, vendor payments and financial reporting into one system. Its site says a single timecard can cover multiple jobs, localities, rates and trades, with compliance for prevailing wage and union rules, and lists certified payroll, EEO and new-hire reports. It also mentions general ledger and WIP reports.

  4. Knowify

    Best for: Specialty trade contractors who bill AIA-style and keep their books in QuickBooks

    Knowify says it helps trade contractors bid, manage and invoice projects and service work on one platform, and names electricians, plumbers, HVAC contractors, painters, remodelers, concrete and excavation companies as its users. Its site describes job costing with real-time WIP reporting and support for AIA contracts and billing. Knowify says it syncs with QuickBooks Online, QuickBooks Desktop and Intuit Enterprise Suite.

  5. JobTread

    Best for: Builders and remodelers who want estimating, project management and job costing in one tool

    JobTread describes itself as construction management software covering estimating, project management and financial tracking, including job costing, budgets, change orders, daily logs, time tracking and customer portals. It lists home builders, remodelers, commercial and specialty contractors and roofers among the businesses it serves. Its site says it integrates with QuickBooks Online.

  6. ServiceTitan

    Best for: Residential and commercial service trades such as HVAC, plumbing and electrical

    ServiceTitan describes itself as software for commercial and residential trades and names HVAC, plumbing, electrical, roofing and other trades. Its site lists dispatching, scheduling, CRM, a field mobile app, job costing, a proposal builder, project management and accounting features. It says it offers pre-built integrations, names Sage among them, and describes syncing financial data with accounting software; confirm the specific connection you need with the vendor.

  7. Procore (Project Financials)

    Best for: General contractors who want project budgets and cost forecasts visible to field and office teams

    Procore says its Project Financials tool gives real-time visibility into project budgets and shows committed, forecasted and actual costs, turning field data into financial reports. It is positioned around project cost control rather than as a small-business bookkeeping ledger, so ask the vendor how it connects to the accounting system you already use before you buy.

How to choose accounting software as a contractor

  • Start with the report you need most. If it is a job cost report by phase or cost code, test that report with your own data during a trial before you commit.
  • Decide where the ledger lives. Many contractors keep QuickBooks Online or Xero as the books and add a field tool for estimates, change orders and scheduling. Construction-specific systems put everything in one place but take more setup.
  • Check payroll needs early. Certified payroll, prevailing wage, union fringes and workers in several states are where general small-business tools run out of road.
  • Ask whether it tracks retainage, progress billing and WIP. Sureties and lenders commonly ask for a WIP schedule, and building one by hand every quarter is slow and error-prone.
  • Make sure your CPA and bookkeeper can get accountant access and export clean data at year-end.

What your CPA will want the software to capture

Whatever you pick, set it up so tax time is easy. Collect a Form W-9 from every subcontractor before the first payment and tag them as 1099 vendors: for payments made after December 31, 2025, the Form 1099-NEC reporting threshold is $2,000 per payee, and 1099-NEC is due to the IRS and the recipient by January 31. Record equipment and vehicle purchases with the date acquired and placed in service. Federal law now allows permanent 100% bonus depreciation for qualified property acquired after January 19, 2025, but South Carolina does not adopt federal bonus depreciation, so your state return needs a separate depreciation schedule. Clean job cost data also matters if you are weighing an accounting method or entity change.

Questions people ask about this

Is QuickBooks good enough for a contractor?

For many small contractors, yes. Intuit says QuickBooks tracks time and expenses by project and runs job cost reports. Contractors with certified payroll, union work or heavy WIP reporting often add a construction tool or move to a construction-specific system.

Do I need separate software for job costing?

Not always. Start with the job cost report in your ledger. If you need cost codes, change orders, AIA billing or field time entry, a tool such as Knowify or JobTread that syncs to QuickBooks can fill the gap.

What is the 1099 threshold for paying subcontractors in 2026?

For payments made after December 31, 2025, Form 1099-NEC is generally required when you pay a non-employee $2,000 or more for services in the year. The IRS says the amount may be adjusted for inflation beginning in 2027.

Does South Carolina follow federal bonus depreciation for my equipment?

No. The South Carolina Department of Revenue lists IRC section 168(k) bonus depreciation among the federal provisions the state does not adopt, so equipment is depreciated differently on the SC return.
