Best Bookkeeping Apps for Small Businesses
For most small businesses the core choice is a ledger: QuickBooks Online, Xero, FreshBooks, Wave or Zoho Books. Invoice-driven service businesses may find FreshBooks or Wave a natural fit, while businesses that carry inventory, expect to grow or work with an outside bookkeeper often look at QuickBooks Online, Xero or Zoho Books. Receipt tools such as Dext and Expensify sit on top of the ledger and cut down on lost paperwork.
A bookkeeping app will not make tax decisions for you, but it decides how much time you spend each month and how clean your records are at year-end. Below are apps small businesses commonly use, described only by what each vendor says on its own website, which we checked in September 2026. We have not tested or ranked them, and we leave out prices because plans change often.
QuickBooks Online
Best for: Businesses that want a widely used ledger with built-in accountant access
Intuit says QuickBooks Online connects bank accounts to sync transactions automatically, sends invoices and converts estimates to invoices, tracks income and expenses, and runs reports such as profit and loss and balance sheet. Its plan page describes accountant access on paid plans and payroll as an optional add-on.

Xero
Best for: Businesses that want a cloud ledger with a large app marketplace
Xero's US site lists invoicing, online payments, bill pay, purchase orders, expense claims with receipt scanning and bank reconciliation, plus payroll, project tracking, mileage tracking, quotes and fixed asset management. Xero says it integrates with more than 1,000 apps.

FreshBooks
Best for: Freelancers and service businesses that bill for time
FreshBooks describes itself as invoice and accounting software for small businesses. Its site says invoices can automatically pull in tracked time and expenses, and it lists mobile receipt scanning, online payments, payroll, client management and financial reporting. It names freelancers, businesses with employees or contractors, and industries such as construction, consulting and legal among its users.

Wave
Best for: Solo owners and very small businesses starting out
Wave says it combines accounting, invoicing and estimates, receipt scanning, payments and payroll in one system, and describes itself as built for small business owners and solopreneurs rather than accountants. Its site describes a free Starter plan with basic bookkeeping and invoicing and a paid Pro plan with more tools, and offers optional one-on-one bookkeeping coaching through Wave Advisors.

Zoho Books
Best for: Businesses that carry inventory or already use other Zoho apps
Zoho Books describes itself as accounting software for growing businesses covering invoicing, quotes and sales orders, bills and purchase orders, project billing, bank reconciliation, multi-currency, inventory with stock alerts and expense tracking. It says it connects with other Zoho applications and offers a free plan with no expiration.

Dext
Best for: Businesses drowning in paper receipts and supplier invoices
Dext says it captures receipts, invoices and expenses from a mobile app, email or upload, extracts and categorizes the data, and syncs it to your accounting software. It says it connects with QuickBooks Online, Xero, Sage and Zoho among dozens of accounting platforms, stores documents, and handles employee expense approval.

Expensify
Best for: Teams with employees who spend on the company's behalf
Expensify describes itself as an expense management platform for tracking receipts, managing expenses and handling reimbursement. It says you can snap a photo of a receipt, forward it by email or upload it, and that expense reports are matched and policy-checked before approval. It says it integrates with QuickBooks, Xero, NetSuite, Sage Intacct, Gusto and others, and offers its own Visa commercial card.

How to pick a bookkeeping app
- Match the app to how you earn money. Time-billed services need strong invoicing and time tracking; product sellers need inventory; contractors need job costing (see our list of accounting software for contractors).
- Plan for who does the books. If an outside bookkeeper or CPA will help, choose an app they can log in to and that exports cleanly.
- Check bank feeds for your actual bank and card accounts before you migrate.
- Think about payroll separately. Several apps offer payroll, but payroll tax deposits carry personal liability for the people responsible for them, so pick a provider you trust to file on time.
- Try the reports you will use every month: profit and loss, balance sheet, accounts receivable aging and a vendor list you can use for 1099s.

A monthly routine that keeps the app useful
- Use a business-only bank account and card so every transaction in the feed belongs in the books.
- Categorize and reconcile every account to the bank statement each month.
- Attach receipts as you go. The IRS generally expects records supporting a return to be kept for at least three years, and longer in some cases, such as property records until the limitations period ends for the year you dispose of the property.
- Collect a Form W-9 from each contractor before paying them. For payments made after December 31, 2025, the Form 1099-NEC threshold is $2,000 per payee.
- Review profit and loss before each quarterly estimated tax payment.

What is the best free bookkeeping app for a small business?
Wave says its Starter plan is free for basic bookkeeping and invoicing, and Zoho Books says it offers a free plan with no expiration. Free plans have limits, so check what is included before you rely on one.
Do I still need a CPA if I use a bookkeeping app?
The app records transactions; it does not decide entity elections, depreciation methods, estimated payments or state adjustments such as South Carolina's add-back of federal bonus depreciation. Many owners use an app for daily entries and a CPA for tax planning and returns.
Should I use a receipt app like Dext or Expensify?
If receipts pile up or employees spend company money, a capture tool that syncs to your ledger can save time. Both vendors say they integrate with QuickBooks and Xero.
How long should I keep the records in my bookkeeping app?
The IRS generally says three years from filing, four years for employment tax records, six years if income was underreported by more than 25%, and seven years for worthless securities or bad debt claims. Property records should be kept until the limitations period ends for the year you sell the property.
